Privacy Statement

Last updated: 27 September 2026

Kiwi Bid Support Limited (“Kiwi Bid Support”, “we”, “us” or “our”) respects your privacy. This statement explains how we collect, use, store and share personal information when you visit our website, contact us or use our services.

1. Information we collect

Depending on how you interact with us, we may collect:

  • Your name, job title, organisation and contact details

  • Information you provide through a website form, email, phone call or meeting

  • Information needed for a tender or project, such as team CVs, work histories, project examples and referee details

  • Billing contact details and records relating to our services

  • Information you provide when applying to work with us

  • Website information, such as your IP address, browser and device details, pages visited and interactions with the site

We only collect personal information needed for our work or another lawful purpose.

2. Where information comes from

We usually collect information directly from you. We may also receive information about you from a client, your organisation, a colleague or another person involved in a tender or project. For example, a client may give us a team member’s CV for inclusion in a submission.

Where required by the Privacy Act 2020, we take reasonable steps to make people aware when we collect their information from someone else, unless an exception applies.

3. How we use information

We use personal information to:

  • Respond to enquiries and communicate with you

  • Assess opportunities and provide our tender, bid and procurement services

  • Prepare, review and submit documents on a client’s behalf

  • Manage projects, client relationships, invoicing and payment records

  • Consider applications to work with us

  • Operate, protect and improve our website and services

  • Send updates or marketing communications where permitted

  • Meet legal obligations

We use information for the purpose for which it was collected, a directly related purpose, or another purpose permitted by law.

4. Website forms and marketing

Providing information through a website form is voluntary. If you do not provide the details needed to contact you or understand your request, we may be unable to respond or provide the requested service.

Submitting an enquiry does not, by itself, subscribe you to marketing emails. If you receive marketing communications from us, you can unsubscribe using the option in the message or by emailing central@kiwibid.co.nz

Please do not send sensitive personal information through a general enquiry form. If it is needed for a project, we can discuss an appropriate way to provide it.

5. Cookies and website analytics

Our website uses cookies and similar technologies to operate and improve the site. Depending on the tools enabled on the refreshed website, these may also help us understand how visitors use it or measure the effectiveness of our communications.

You can usually block or delete cookies through your browser settings, although some site features may then work differently.

6. Who we share information with

Where needed for the purposes described above, we may share personal information with:

  • KBS team members and specialists working on an enquiry or project

  • A client’s nominated staff or collaborators

  • Buyers or procurement platforms when submitting a response on a client’s behalf

  • Providers supporting our website, communications, project management, document storage or accounting

  • Professional advisers, regulators or others where required or permitted by law

We ask clients to provide information they are entitled to share with us and to tell us about any restrictions on its use.

7. Storage, security and overseas services

We take reasonable steps to protect personal information from loss, misuse and unauthorised access or disclosure. We limit access to people who need the information for their work.

Some technology providers we use may store or process information outside New Zealand. We remain responsible for information they handle on our behalf and take steps to meet applicable New Zealand privacy requirements.

8. How long we keep information

We keep personal information for as long as needed for the purpose for which it was collected, a lawful related purpose, or a legal or recordkeeping obligation. When it is no longer needed, we take reasonable steps to securely delete or dispose of it.

9. Your rights

You can ask whether we hold personal information about you and request access to it. You can also ask us to correct information you believe is wrong.

Email central@kiwibid.co.nz and tell us you are making a privacy request. We may need to confirm your identity before responding. We will handle your request in accordance with the Privacy Act 2020.

If you have a concern about how we have handled your information, please contact us first so we can investigate it. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.
